The Artwork field lets you provide graphics for a client to view and approve as part of their booking journey.

Create an Artwork custom field for your leads or bookings, add the Artwork block to the Client Portal, then use automations to let clients know when a new graphic is ready for them to review.

Create the Artwork custom field

Open Settings.
Open Job Management.
Add a new custom field.
Name the field Artwork.
Set the field type to Artwork.
Set the field visibility to All bookings or Leads, depending on where you need the field to appear.
Enable multiple files if clients may need to receive more than one artwork item.
Set the allowed file extensions. JPEG and PNG are typical choices for artwork files.

The field must be set up before it can be shown in the Client Portal. Keep the field name clear so it is easy to identify when you are editing the portal layout.

Add artwork to the Client Portal

Open Client Portal settings.
Open the Client Portal layout.
Click Edit layout.
Add the Artwork block.
Use the drop-down in the block to choose the Artwork field you created.

Once the block has been added and linked to the correct field, the artwork section appears in the Client Portal.

This gives clients a dedicated place to view the graphics connected to their booking, rather than receiving them separately through email or messages.

Notify clients when new artwork is ready

Use an automation to notify clients when new artwork has been uploaded for them to review.

The automation can let the client know that they have new artwork waiting in their Client Portal. The client can then log in and open the artwork section connected to their booking.

This keeps the notification and the artwork review process connected. The client knows there is something new to review, and the artwork itself is available in the same place as the rest of their booking information.

Client artwork review

Clients can use the Artwork section in their Client Portal to view the uploaded graphics.

They can comment on the artwork, approve it or refuse it. This gives them a clear way to respond without needing to send separate feedback through email or messages.

Use comments when the client needs changes. Use approval when the artwork is ready to move forward. If the client refuses the artwork, you can use their response and comments to understand what needs to change.
